What exactly does Optimized Hub build for me?

Your CRM stores data and sends reminders — but it requires you to act on them. Our systems do the acting for you. They respond instantly to new leads, filter out tire-kickers, and hand you only the qualified, ready-to-talk prospects. We also integrate with most CRMs rather than replacing them, so you keep your existing setup.
Will automated messages feel robotic or hurt my personal brand?
No — and this is one of the most important things we get right. Every message is written in a natural, conversational tone that sounds like you. Leads rarely know they're talking to an automated system. The goal is speed and consistency, not a robotic script. You review and approve all message templates before anything goes live.
How fast will the system go live after I sign up?
For Growth and Pro packages: within 48 hours of account setup. That's not a soft estimate — it's our guarantee. If your system isn't live and working in 48 hours, you don't pay.
What do I need to do to get started?
Very little. You set up two accounts (we tell you exactly which ones and walk you through it — takes about 15 minutes). After that, we handle everything: connecting the tools, building the workflows, writing the messages, testing the system, and launching it. You just need to show up for the 30-minute onboarding call.
Do I need to be tech-savvy to use this?
Not at all. The system is built for agents and loan officers who are focused on clients — not software. Once it's live, you don't manage it or touch it. It runs in the background automatically. If something breaks or needs updating, that's covered by your monthly retainer.
What's included in the free audit?
You fill out a short 2-minute form about your business. Within minutes, you receive a personalized AI-generated report that identifies your biggest lead gaps, estimates the revenue you may be losing, and outlines specific automation opportunities. It's a real analysis — not a generic checklist. No sales call required to get it.
I purchased the $297 Deep Dive Audit. Can I apply that toward a setup package?
Yes — the $297 is credited in full toward any Growth ($1,200) or Pro ($2,500) setup package. So if you go with Growth, your net cost is $903. If you go with Pro, it's $2,203. The credit does not apply to the Starter package ($500), but Starter clients can apply it toward a Growth upgrade later.
What platforms and tools does the system run on?
We build on proven, business-grade tools: n8n for workflow automation, Quo (formerly OpenPhone) for SMS communication at $15/user/month, and Google Sheets for lead tracking. You own your accounts — we're never the middleman holding your data hostage.
I already have a lead generation system. Can this work alongside it?
Yes. Our systems are designed to plug into what you already have — whether your leads come from Zillow, Realtor.com, Facebook ads, your website, or referrals. We build the follow-up layer on top of your existing lead sources. We don't replace your lead gen; we make sure no lead falls through the cracks after it comes in.
What if it doesn't work? What's the guarantee?
For Growth and Pro packages, the guarantee is simple: live and working in 48 hours of account setup — or you don't pay. Beyond that, if you're on a monthly retainer and the system goes down or stops performing, we fix it at no extra charge. Our job is to keep it running.
What does the monthly retainer cover?
The retainer keeps your system healthy and improving over time. Starter ($150/mo) includes uptime monitoring and minor fixes. Growth ($300/mo) adds a monthly performance report and one workflow update per month. Pro ($500/mo) includes everything in Growth plus priority support with a 24-hour response guarantee and new automations added quarterly.
Is my client data and business information secure?
Yes. You own all your accounts and data — we never store your client information on our systems. All tools we use (n8n, Quo, Google Sheets) maintain their own security standards. What's the difference between the three setup tiers?
Starter ($500) is the fast fix — missed call text-back and instant SMS reply. Best if you just need to stop losing leads to voicemail. Growth ($1,200) is the full system — adds the Intake Assistant to qualify leads automatically, Google Sheets tracking, and the Deep Dive Audit included free. This is what most Realtors and LOs need. Pro ($2,500) adds multi-step follow-up sequences, lead scoring, monthly reports, and quarterly optimizations — best for high-volume agents who want a fully managed AI front office.
